ROLE DESCRIPTION

 

We are looking in Bogotá for an experienced office and operations coordinator, you will be responsible to support the team in the general operation of the projects, performing a variety of administrative tasks of different functional areas like brand, project & asset management. Fluent English is a must, you will work with native speakers supporting projects of one the most recognized & loved global brands.

Once here you will…

  • Manage new vendor creation; Set up vendors in Aravo, Coupa, NDAs, etc.
  • Manage legal and brand protection operations; Contracts, SOWs, trademarks, etc
  • Run invoice submission and tracking; Coupa, Flex, manual invoices, etc.
  • Support marketing event planning and execution; RMMs, offsites, etc.
  • Meeting organization; Manage agendas, recaps, scheduling
  • Own seasonal sample order process; Ordering and tracking of samples
  • Own seeding and sample management; Seeding to influencers/media partners, storage of samples and shipping to productions
  • SIM Preparation; Assist Brand Director with developing SIM deck
  • Ensure functions/partners/agencies are tracking along for deliverables; Following up on gameplan to ensure project is tracking to deadlines
  • Budget management: Managing project-specific budgets, ensuring we are tracking accordingly.
  • GPM & Global Asset Management; GPM Assets:
  • Other GPM created content/toolkits (i.e. Comfort, PM, reverse seasonality, etc.) (24 hrs/quarter)
  • Global Assets: VC + seasonal assets, copy (1 hr/week) – Digital Brand (6 hrs/week) -PM (8 hrs/week) – Ecomm (8 hrs/week) – Retail toolkits (1 hr/week) – Comms (.5 hr/ week) – Energy/Skate/Bball (covered)

Does this sound like you?

  • 5+ years of experience in similar roles at BTL agencies or multinational companies
  • Business administrator, marketing, industrial engineer, or related fields
  • Ability to engage and be proactive
  • Advanced Office – Excel and PowerPoint + keynote skill set
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly.
  • Advanced level written & verbal communication skills.
  • Demonstrates proactive approaches to problem solving with strong decision-making capability.
  • You are organized, self-motivated and detail-oriented, with the ability to work autonomously and be a self-starter in a demanding environment.
  • You are known for an extraordinary attitude: Always willing to help and add value with a readiness to jump in and work with a diverse group of people and spearhead brainstorms and conversations.
